Terms & Conditions
Please read these terms carefully before using our services. By booking with Lux cars, you agree to the conditions set out below.
1. Service Agreement
These terms apply to all private hire and chauffeur services provided by Lux cars ("we," "us," "the company"). When you place a booking, whether online, by phone, or through a third party acting on your behalf, you are entering into a contract with us under these terms.
Lux cars is a licensed private hire operator based in the United Kingdom. All vehicles in our fleet are fully licensed, insured for private hire use, and maintained to manufacturer standards. Every chauffeur holds a valid private hire driver licence issued by the relevant local authority.
We reserve the right to subcontract any booking to a vetted partner operator if circumstances require it. In those cases, the same service standards and these terms still apply.
2. Bookings & Confirmation
All bookings are confirmed once you receive written confirmation from us via email or SMS. Until that confirmation is sent, no booking is guaranteed.
We recommend booking at least 24 hours in advance. Same-day requests are accepted where possible, but availability is not guaranteed and may be subject to a short-notice surcharge.
It's your responsibility to provide accurate pickup details, including the correct address, terminal number (for airport transfers), flight number, and contact phone number. If incorrect details lead to delays or a missed pickup, we can't be held responsible.
For airport collections, please provide your flight number at the time of booking. We track your flight in real time and adjust the pickup window if your arrival is delayed. There is no extra charge for flight delays.
3. Pricing & Payment
All quoted prices include VAT where applicable. The fare you're given at the time of booking is the fare you pay, unless the journey details change after confirmation (for example, a different destination or additional stops).
We accept payment by credit card, debit card, and bank transfer. For corporate accounts, invoicing on 14-day or 30-day terms can be arranged on request.
Tolls, congestion charges, parking fees, and any applicable airport drop-off or pickup charges are not included in the base fare unless stated otherwise at the time of booking. These will be added to your final invoice.
If a journey takes significantly longer than expected due to a route change you've requested, or a stop that wasn't part of the original booking, additional charges may apply. Your chauffeur or our team will let you know before any extras are added.
4. Waiting Time
Standard Pickups
Your chauffeur will arrive at the agreed time and location. A complimentary waiting period of 15 minutes is included from the confirmed pickup time. After that, waiting time is charged at our standard per-minute rate.
Airport Arrivals
For airport pickups, you get 30 minutes of free waiting time from the moment your flight lands. After that window, the standard per-minute rate applies.
5. Cancellation Policy
Free Cancellation
Cancel more than 24 hours before your pickup time and you won't be charged anything.
Late Cancellation
Cancellations made between 12 and 24 hours before the pickup incur a 50% charge. This covers the cost of holding a vehicle and chauffeur for your booking.
No-Show
If you cancel within 12 hours, or don't show up at the pickup point, the full fare is charged. The vehicle and chauffeur were committed to your journey, and we can't reallocate them at that stage.
For multi-day or event bookings, separate cancellation terms may apply. These will be outlined clearly in your booking confirmation.
6. Passenger Conduct
All vehicles in our fleet are strictly non-smoking. This includes e-cigarettes and vapes. Eating and drinking is permitted at the chauffeur's discretion, but we ask that you treat the vehicle with care.
Passengers must wear seatbelts at all times while the vehicle is in motion. Child seats can be provided on request and must be requested at the time of booking.
If a passenger's behaviour puts the safety of the chauffeur, other road users, or the vehicle at risk, the chauffeur has the right to end the journey immediately. In that situation, the full fare is still payable and no refund will be issued.
Any damage to the vehicle caused during your journey, including staining, spillages, or physical damage, will be charged to you. Cleaning fees start at £150 for minor issues and can reach £500 or more for damage that takes the vehicle off the road.
7. Liability & Insurance
All Lux cars vehicles carry full commercial hire and reward insurance as required by UK law. Passenger liability cover is included as standard on every journey.
We are not liable for delays caused by traffic, road closures, adverse weather, or any other event outside our reasonable control. While we always aim to get you there on time, road conditions are unpredictable and we cannot guarantee exact arrival times.
Lux cars is not responsible for any personal belongings left in the vehicle. If you think you've left something behind, contact us as soon as possible and we'll do our best to locate and return it, though we can't guarantee recovery.
Our total liability for any single booking is limited to the fare paid for that journey. We are not liable for indirect losses, including missed flights, meetings, or connections, regardless of the cause.
8. Privacy & Data Protection
We take your privacy seriously. The personal information you share with us (name, contact details, travel itineraries) is used solely for the purpose of providing our chauffeur services and managing your account.
We don't sell, rent, or share your data with third parties for marketing purposes. Period.
All client data is stored securely and handled in full compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. You have the right to access, correct, or request deletion of your personal data at any time by contacting us at info@luxcars.uk.
Discretion is a core part of what we do. Your travel details, destinations, and any conversations that take place during a journey are treated as strictly confidential. All chauffeurs are briefed on this as part of their onboarding and ongoing training.

9. Vehicle & Service Scope
We will always do our best to provide the specific vehicle class you've booked (E-Class, S-Class, V-Class, etc.). In rare cases, we may need to substitute with a vehicle of equal or higher specification. If that happens, we'll let you know in advance.
All our vehicles are regularly serviced, professionally valeted, and presented to a high standard for every journey. Complimentary premium amenities are provided in all vehicles (Executive E-Class bookings include a choice of one complimentary add-on: Water, Nameboard, Newspaper, or Childseat; Lux cars receive any two of these amenities as standard).
Lux cars provides a door-to-door chauffeur service. Unless arranged otherwise, the service covers the agreed route between your pickup and drop-off locations. Detours or additional stops requested during the journey may attract an extra charge.
10. Changes to These Terms
We may update these terms from time to time. When we do, the updated version will be posted on this page with a revised date. If you continue to use our services after any changes, you're agreeing to the updated terms.
For any material changes that affect existing bookings, we'll notify you directly by email.
11. Governing Law
These terms are governed by the laws of England and Wales. Any disputes arising from or connected to these terms, or the services we provide, will fall under the exclusive jurisdiction of the courts of England and Wales.
